Customer Support and Order Management Specialist

The Customer Support and Order Management Specialist manages the order process and therefore communicates with all internal and external stakeholders (local sales teams, logistics and customers). Additionally, this position is responsible for handling customer and sales requests and after sales activity for an assigned region. Taking initiative and having the ability to anticipate problems before they happen and proactively identify solutions are essential for success in this role. The Customer Support and Order Management Specialist reports into the Logistics and Supply Chain Team leader / Sales Coordinator.

  • Perform a variety of different tasks related to web shop order processing, order management, supply chain and sales support and prioritize them independently during a typical working day
  • Process and manage the daily customer order flow in ERP coming from different order channels, from creating/registering customer accounts, to placing orders, to sharing real-time order/back log information and invoices with customers.
  • Handling all customer, direct sales and online sales request for the assigned region related to aftersales/back office activity
  • Use experience, judgement and as needed seek advice from colleagues to promptly provide answers to customer’s requests
  • Managing backlog including order change and cancellation, pull in and push out and inventory planning for safety stock
  • First point of contact for resellers and direct accounts related to lead time and backlog information
  • Ensure real-time processing of order status request from the web ticketing system
  • Validating all RMA requests in accordance to company process and update the customer accordingly
  • Process all Crowdfunding campaign orders for UP
  • Be a team worker who acts as the backup for the Sales Coordinator and Supply Chain/Inventory Planning activities within the team
  • Work strictly and independently according to the Standard Operating Procedures (SOP) and order entry guidelines
  • Perform as a flexible team member, constructively participate in team meetings, company updates and project team activities

Profiel van geschikte kandidaat

  • Detail oriented, customer focussed and positive attitude and working style
  • Curious creative thinker, eager to continuously learn and improve daily
  • Bachelor work and thinking level with a relevant education (commerce / IT).
  • At least 1-2 years’ work experience in an Order Management or Customer Service
  • Familiar with Logistics, Supply Chain and/or Inventory Planning
  • Experience with Microsoft Office and ERP system
  • Excellent oral and written command of the English language (French / Italian / Spanish is considered a plus)
  • Pro-active, solution-oriented and ability to reason through ever changing scenarios
  • Ability to maintain productive relationships both internally and externally
  • Excellent prioritizing, time management and planning skills.
  • Decisive, energetic and result-oriented
  • Available for 32 hours per week at least
